The Speaker Liaison Coordinator acts as a key conduit between the Show Director, Marketing, Sales, and Operations teams, as well as suppliers, partners, and speakers. The purpose of the role is to ensure each conference runs smoothly by delivering a seamless, professional experience for speakers and sponsors both pre-event and onsite. You will ensure that all relevant speaker and sponsor information is collected accurately and on time to support marketing and promotional campaigns, while also providing clear, detailed briefs to internal teams to enable flawless event delivery.
Job Responsibility:
Liaise with the Event Director, Marketing Manager, and Conference Manager to clarify event briefs
Execute speaker agreements and manage speaker requests in a timely and professional manner
Obtain, edit, and publish speaker photographs, biographies, and session descriptions in line with marketing deadlines
Support marketing teams with speaker promotion campaigns
Liaise with internal and external designers to create and proofread printed programmes and promotional materials
Maintain accurate and up-to-date online programmes using the content management system (CMS)
Manage speaker accommodation, fees, and expenses in line with event budgets
Provide accurate briefs for the operations team and AV suppliers
Provide clear and detailed briefs for conference chairs and speakers
Request, receive, and manage speaker presentations to the correct AV specifications and deadlines
Manage speakers, AV technical teams, and speaker lounges onsite during events
Organise logistics for organisations hosting smaller, special events
Undertake any additional ad hoc duties as required by the line manager
