Job Description

Come join a creative team committed to maintaining extraordinary Design Studios globally. In this role, you will support the Spaces Program Manager with coordinating and executing space planning initiatives and project management activities across our studio locations. You will serve as a key execution partner — helping ensure our space data is accurate, our projects are delivered on time, and the right stakeholders are engaged at the right time.

Job Responsibility

  • Support the Program Manager with gathering space needs from teams and aligning requests to long-range workplace strategy plans
  • Maintain accurate digital floor maps across all studio locations
  • Support quarterly space forecasting and headcount projections
  • Handle day-to-day seating challenges and troubleshoot conflicts
  • Coordinate relocations including project planning, group move timing, migration and phasing plans, and stack and block plans
  • Monitor, analyze, and interpret occupancy data sets
  • generate ad hoc reports as requested
  • Ensure all space changes are documented and communicated to impacted parties
  • Support the Program Manager in executing various spaces program initiatives from start to finish
  • Develop and maintain project documentation including briefs, schedules, status reports, and knowledge hubs
  • Lead weekly reporting, including project status, resourcing, and financial summaries
  • Schedule and facilitate meetings and working sessions
  • Escalate risks in a timely manner and participate in issue resolution
  • Assist in the creation and measurement of program metrics
  • Navigate competing priorities and manage negotiations between teams as needed

Requirements

  • 3–5 years of prior experience in space planning, project coordination, or operations within a creative or tech environment
  • Highly organized with meticulous attention to detail
  • experience tracking, organizing, and presenting data in easy-to-understand formats
  • Strong written and verbal communication skills across all levels of an organization
  • Self-starter who demonstrates initiative and thrives in a fast-paced, informal environment
  • Proactive problem solver — able to work independently with limited information and escalate appropriately
  • Ability to respond to changing priorities quickly and efficiently
  • Familiarity with workplace management solutions (e.g., Tririga) a plus
  • Proficient in Numbers, Keynote, and collaboration tools (e.g., Slack, Quip)
  • BA/BS preferred, or AA/AS with equivalent relevant work experience
