We are seeking an experienced Soft Services Maintenance and Vendor Manager to oversee all non-technical facility services operations. This role requires strong vendor management expertise, service quality oversight, and the ability to ensure seamless delivery of cleaning, front desk messengerial and other soft services across commercial properties.
Job Responsibility:
Soft Services Operations Management: Oversee janitorial and cleaning operations including daily cleaning, deep cleaning, and specialized cleaning services
Manage office maintenance programs including pest control, carpet and office fabric care, office waste collection and disposal services
Coordinate reception staff, and messengerial services
Supervise pest control, waste management, recycling programs, and environmental compliance initiatives
Vendor Relationship Management: Develop and maintain strategic relationships with soft services vendors and contractors
Negotiate service contracts, pricing structures, and service level agreements to optimize cost and quality
Conduct regular vendor performance evaluations and implement improvement action plans
Manage vendor onboarding processes including insurance verification, background checks, and training requirements
Coordinate vendor scheduling to minimize disruption to building operations and occupants
Quality Assurance and Service Delivery: Establish quality standards and inspection protocols for all soft services operations
Conduct regular facility walkthroughs and service audits to ensure compliance with established standards
Implement corrective action plans for service deficiencies and monitor improvement progress
Manage tenant and occupant feedback systems and resolve service-related complaints promptly
Develop and maintain service delivery documentation and standard operating procedures
Budget and Financial Management: Prepare and manage annual budgets for all soft services categories
Monitor monthly expenditures and provide budget variance analysis and reporting
Identify cost-saving opportunities while maintaining service quality standards
Review and approve vendor invoices ensuring accuracy and compliance with contracted rates
Develop capital improvement recommendations for soft services infrastructure and equipment
Requirements:
Experience in soft services maintenance and vendor management
Strong vendor management expertise
Service quality oversight
Ability to ensure seamless delivery of cleaning, front desk messengerial and other soft services across commercial properties
