Job Description

As a Site Coordinator with an Onboarding Focus, you will play a central role in ensuring a positive employee experience at our Søborg site. Acting as a key point of contact for employees, managers, and site service functions, you will help create smooth coordination across the organization and support the daily operations of the site. A core part of the role is to ensure a professional, seamless, and engaging onboarding experience for new employees and internal movers, helping them become connected from day one.

Job Responsibility

  • Act as a central coordinator for the Søborg site, serving as a key link between employees and site service functions, including corporate and shared service functions
  • Own and manage the local Service Point, ensuring efficient support for employees and managers
  • Coordinate and drive the onboarding process for new hires and internal movers at the site
  • Provide proactive guidance and support to new employees and their managers throughout the onboarding journey
  • Monitor onboarding activities, track progress, and follow up with relevant stakeholders to ensure all onboarding tasks are completed on time
  • Coordinate the provisioning of workplace equipment, access rights, safety gear, devices, and other employee-related resources through close collaboration with local and global functions
  • Ensure Service Point processes are delivered efficiently and with a high level of service and employee satisfaction
  • Continuously improve, document, and optimize onboarding and site coordination processes based on feedback and best practices
  • Participate in and, when relevant, lead local facility management and workplace improvement projects
  • Support initiatives that strengthen employee engagement, site collaboration, and the overall workplace experience

Requirements

  • Proven excellence in complex administrative coordination, ideally from a high-paced international or matrix organization
  • Exceptional ability to structure, prioritize, and execute multiple parallel processes without losing overview or quality
  • Natural talent for becoming the "go-to" person who brings clarity, structure, and momentum across functions and stakeholders
  • Advanced stakeholder management skills, with the ability to align and drive collaboration across local and global teams at all levels

  • High level of independence and ownership, with the ability to proactively identify gaps, solve problems, and drive tasks to completion
  • Experience managing or coordinating service functions, office operations, or shared services environments is a strong advantage
  • Strong process mindset with experience improving, standardizing, or scaling administrative and onboarding workflows
  • Excellent communication skills, with the ability to create structure and clarity in complex, fast-moving environments
  • High attention to detail combined with a strong ability to maintain a strategic overview
