Job Responsibility

  • Provide comprehensive administrative support to site management and staff, including roster management, travel coordination, scheduling meetings, issuing correspondence, and preparing reports
  • Coordinate with various internal and external stakeholders, including operations, HR, payroll, safety, training, mobilisations and subcontractors to ensure seamless communication and operational efficiency
  • Working closely with our people logistics team, booking travel and logistics, managing rosters and any changes that come up on a day-to-day basis
  • Liaise with subcontractors to arrange travel and accommodation requirements
  • Oversee the creation, organization, and maintenance of site-related documents, including safety records, permits, and compliance reports
  • Raise requisitions and receipt purchase orders as directed by the Site Manager(s)
  • Support employees with timesheet entry queries and ensure cost codes are allocated in the relevant systems
  • Act as a liaison between the site and corporate offices, handling inquiries and ensuring timely communication of relevant information

Requirements

  • Demonstrated experience in a similar site-based administration or customer facing role
  • Great organisational skills
  • Ability to work in a fast-paced environment
  • Detail-oriented, proactive, with a strong ability to manage time effectively and work collaboratively in a fast-paced environment
  • Experience using mobilisation and flight management software (INX and SAM)
  • Strong Microsoft Outlook, Word and Excel skills
  • Current Australian working rights
