Job Description:

Reporting directly to the Maintenance Manager. The Shop Purchasing & Data Administrator will perform a variety of administrative, analytical and financial duties to assist in the effective and efficient operations of the department.

Job Responsibility:

  • Oversee time-tracking on a monthly basis to ensure all billable hours are captured, recorded and invoiced for
  • Maintains comprehensive list of work orders, purchase orders, purchase requisitions and tracks costs/status against each one, provides monthly summary report as required
  • Coding and Electronic tracking/inputting of all invoices, purchase orders and work orders to ensure timely and accurate processing
  • Oversee meter readings on a monthly basis to ensure all billable hours are capture and recorded
  • Assists Operations personnel with contacting customers, contractors and suppliers as required
  • Pull reports, analyze and verify data, and assemble in presentable format as needed
  • Provide back-up support for SLF contractor invoicing

Requirements:

  • Minimum 2-year college program, or equivalent level of education
  • Ability to manipulate and extrapolate data from various databases
  • Detail oriented with a keen eye for errors
  • Advanced computer software skills (i.e. MS Word, PowerPoint, Excel) to efficiently and effectively produce reports as necessary
  • Able to work with limited supervision and to take discretionary action as required
