In this exciting position, you will play a crucial role in providing logistics administration across our professional hire departments while offering valuable support to our small admin team. You'll be at the heart of our operations, ensuring the smooth transportation of costumes worldwide, all while delivering outstanding service to our customers.
Job Responsibility:
Collaborate with departments daily, staying updated on major productions
Prepare commercial invoices, customs paperwork, labels, and consignment lists
Liaise with shipping and courier companies to arrange order collections and provide quotes
Keep production companies informed about shipment progress at every stage
Handle enquiry calls from customers, guiding them through the system with follow-ups
Manage our UK and international shippers and freight forwarder accounts
Arrange both overseas and UK shipments, ensuring timely deliveries
Supply customs with accurate commodity codes and clearance instructions
Book deliveries into our warehouse and distribution centre with advance stock notifications
Review and approve purchase invoices from shippers with a keen eye for detail
Coordinate with customers to resolve any customs-held shipments
Provide holiday and sickness cover for the Administration Assistant and Receptionists
Requirements:
At least 2 years of experience in an administration-based role
Proficiency in Word and Excel
Strong numerical and literary accuracy
Excellent communication and organisational skills
The ability to thrive under pressure
