This is a newly created position designed to centralize shipment responsibilities, as we aim to strengthen compliance, improve efficiency, and support scalability as Gubra continues to grow. Your main role is to coordinate all shipments of biological samples and chemical materials at Gubra, ensuring compliance with SOPs and regulations. You’ll work with Study Directors, lab teams, and couriers to guarantee timely and secure delivery. You’ll also help with receiving packages and supporting procurement across departments.
Job Responsibility:
Running end-to-end shipment processes in accordance with SOPs and regulatory requirements
Preparing shipment documentation, including commercial invoices, courier forms and country-specific add-ons
Booking shipments in courier portals (e.g. World Courier), ensuring correct entry of all data
Managing shipment documentation throughout the approval process and ensuring that all records are properly stored in the relevant systems
Collecting samples, packing according to SOP (e.g., IATA 650, dry ice, courier-approved packaging) and preparing shipments for pick-up
Managing handover to couriers, tracking shipments, and informing Study Directors of their progress
Receiving, registering and distributing incoming packages, consumables and materials across Gubra
Maintaining shipment-related supplies such as labels, packaging and dry ice coordination
Supporting common laboratory purchases across departments — for example by assisting with order placement when relevant, communicating with vendors, following up on deliveries, and helping maintain stock levels
Collaborating with departmental purchasers to ensure alignment with agreed procurement practices and framework/discount agreements
Requirements:
Experience with shipments, logistics, lab workflows, procurement or administrative coordination
Familiarity with handling biological materials, ABP/API shipments or regulated documentation is an advantage
Comfortable working with digital tools (Office 365, tracking portals, order systems)
Strong communication skills in English, written and verbal
Experience with couriers such as World Courier, FedEx or DHL is a plus
Structured, detail-oriented and reliable in following procedures
Strong execution mindset with the ability to work independently
Service-minded, and collaborative across many departments
Comfortable balancing routine tasks with peak operational periods
Nice to have:
Familiarity with handling biological materials, ABP/API shipments or regulated documentation
Experience with couriers such as World Courier, FedEx or DHL
