Job Description

We are looking for a skilled SharePoint and Document Management Specialist to join our team on a contract basis. In this role, you will focus on optimizing an existing SharePoint implementation, designing scalable digital filing systems, and transitioning workflows from paper to digital formats. Based in Brentwood, Tennessee, this position offers an exciting opportunity to support organizational growth and improve operational efficiency across multiple locations.

Job Responsibility

  • Assess and troubleshoot the current SharePoint environment, resolving access issues and improving permission structures
  • Reorganize SharePoint sites, libraries, and folders for better usability and scalability
  • Design and implement a structured digital filing system to replace physical paperwork and support future expansion
  • Develop retention policies, metadata structures, and access controls to ensure compliance and security
  • Plan and oversee the digitization and migration of paper-based files and documents stored in various systems
  • Provide training and support to staff on navigating and utilizing the newly developed document management systems
  • Collaborate with leadership and department heads to understand business needs and create tailored solutions
  • Document processes and establish best practices for long-term usage and minimal IT confusion
  • Ensure SharePoint becomes the central repository while integrating with tools like Salesforce, Connecteam, and Gusto
  • Recommend strategies for aligning multi-location document management under a unified structure

Requirements

  • Proven expertise in SharePoint Online and Microsoft Teams administration
  • Experience in cleaning up and restructuring poorly implemented SharePoint environments
  • Strong skills in designing digital filing systems with governance and permission structures
  • Familiarity with multi-location environments and role-based access control
  • Ability to convert paper-based workflows into scalable digital processes
