We are looking for a detail-oriented Shareholder Servicing Agent to support transfer agency operations in Richmond, Virginia. This position is well suited to someone with a foundation in accounting support and administrative processing who can manage financial records accurately and respond to shareholder-related requests with professionalism. The role requires strong organization, careful data handling, and the ability to work efficiently across transaction processing and account maintenance activities.
Job Responsibility
Process shareholder transactions and account updates with a high level of accuracy while maintaining complete and organized records.
Review incoming financial and service documents, enter key details into internal systems, and verify information before finalizing transactions.
Support daily accounting-related tasks by assisting with payment tracking, receivable activity, and invoice documentation as needed.
Respond to shareholder and internal inquiries in a timely manner, providing clear information and escalating issues when appropriate.
Reconcile account information by comparing transaction data, identifying discrepancies, and helping resolve outstanding items.
Maintain current client and shareholder records by updating account details, ownership changes, and related documentation.
Assist with operational workflows tied to department procedures, including data validation and processing adjustments when required.
Contribute to service quality by following compliance standards, meeting processing deadlines, and supporting accurate reporting.
Requirements
At least 1 year of experience in accounting support, financial operations, or a similar administrative role.
Working knowledge of accounts payable, accounts receivable, and invoice processing practices.
Experience using QuickBooks and comfort working within computerized financial or recordkeeping systems.
Strong data entry skills with close attention to accuracy, consistency, and confidentiality.
Ability to organize multiple tasks, meet deadlines, and maintain dependable follow-through in a fast-paced environment.
Clear written and verbal communication skills for handling service-related and internal coordination needs.
Proficiency with basic office software and the ability to learn department-specific tools and procedures quickly.
