As a Service Writer, you will be the critical link between valued customers and the skilled technical team. You will not just be greeting clients; you will be their trusted partner, using your strong mechanical knowledge of heavy trucks and equipment to accurately understand their concerns and translate them into detailed work orders. This role is ideal for a Service Writer who excels in a fast-paced environment and possesses meticulous attention to detail. A significant portion of your day will be dedicated to the administrative backbone of the service department: reviewing, correcting, and finalizing work orders and invoices, troubleshooting discrepancies, and ensuring all mechanic service notes are accurate and complete.
Job Responsibility:
Greet customers promptly and professionally as they arrive at the service department
Actively listen to customer concerns and accurately document their service requests
Review, correct, and finalize a high volume of work orders and invoices, ensuring 100% accuracy
Troubleshoot work order discrepancies to ensure all information is correct
Coordinate with mechanics to ensure their service notes are accurate, detailed, and complete (e.g., documenting a brake replacement)
Communicate effectively with technicians to relay customer information and ensure proper service execution
Clearly explain service details and technical information to customers
Proactively upsell additional services or products that may benefit the customer’s vehicle performance and longevity
Maintain a clean and organized workspace, ensuring all paperwork is completed accurately and filed correctly
Follow up with customers regarding their vehicle status and any additional recommendations from technicians
Requirements:
Minimum 3 years of experience as a Service Writer or Service Advisor (preferred)
Mandatory experience from a heavy truck or heavy equipment company
Demonstrated experience in a customer-facing role within the Skilled Trades or industrial sector
Ability to work full-time, in-person at the Oshawa, Ontario location
High school diploma or equivalent
Proven reliability and punctuality
Strong mechanical knowledge and aptitude, specifically related to heavy trucks and/or heavy equipment (experience with automotive brands is not applicable)
Exceptional customer service and interpersonal skills
must be "interpersonal" and able to build rapport with customers and colleagues
Excellent communication skills, both verbal and written, to convey technical information clearly
Meticulous attention to detail, especially for reviewing and correcting work orders and invoices
Ability to thrive in a fast-paced environment while managing multiple priorities
Strong organizational and administrative skills
A positive attitude, reliability, and a willingness to learn are essential
Proficiency with Microsoft Office
Nice to have:
Experience with "Teledealer" or "CDK" software is a significant asset but not required
