The Service Operations Support Specialist is responsible for handling all incoming and outgoing mail in the office. This includes opening, scanning, and preparing mail items for processing, as well as ensuring all outgoing documents are properly prepared for pick-up. The role also involves assisting in the creation of tickets and providing support in various other tasks as assigned by leadership.
Job Responsibility:
Receive and process incoming mail and packages (USPS, FedEx, UPS) across multiple entities
Log, scan, and upload checks and documents into document management systems and shared folders
Create, assign, and manage tickets following established procedures and pipeline guidelines
Perform remote check deposits and maintain organized deposit records
Securely handle sensitive original documents (e.g., stock certificates, notarized forms, death certificates)
Review and process agent authorization and beneficiary designation forms in accordance with internal standards
Validate digital and physical signatures and initiate identity verification when required (e.g., Veriff)
Prepare, package, and fulfill outgoing mail and check requests
Maintain tracking logs for outgoing mail and check distributions
Monitor and triage inbound pipelines (e.g., Operations Inbox, Trust Operations, New Accounts)
Assist with document handling, uploads, and ticket reassignment across multiple workflows
Maintain accurate logs and provide general administrative and operational support as needed
Requirements:
High school diploma or equivalent required
Associate degree preferred
Minimum of 2 years of experience in operations, administrative support, or financial services
Proficiency in Microsoft Office or similar office software
Familiarity with ticketing and document management systems (e.g., HubSpot, WorkSpace) preferred
Experience with remote deposit systems and scanning equipment is a plus
Knowledge of trust operations, financial documentation, or compliance processes preferred
