Organize and adjust technician schedules for routine service visits, preventive maintenance, and urgent callouts to keep response times on track
Act as the primary communication link between office staff, field technicians, and customers, ensuring updates are shared clearly and professionally
Support the rollout and day-to-day use of updated service software by assisting with setup, data input, testing, and basic user guidance
Communicate with customers regarding new requests, appointment timing, service updates, and follow-up needs after work is completed
Open, revise, and finalize work orders in the service management system with a high level of accuracy and attention to detail
Prepare technicians with the job information, supporting documents, and parts-related details needed for efficient service completion
Monitor parts requests and help coordinate supply ordering and organization to avoid delays in scheduled work
Maintain complete service documentation, including job notes, equipment records, and status updates for reporting and historical reference
Partner with accounting and internal team members to support accurate billing, smoother workflows, and stronger overall service performance
Requirements:
High school diploma required
additional college coursework or an associate’s or bachelor’s degree is preferred
At least 2 years of experience in service coordination, dispatching, call center support, or administrative operations
Prior exposure to service dispatch or work order platforms such as ServiceTitan, FieldEdge, Computer Aided Dispatch systems, or similar tools is preferred
Strong customer service and communication skills with the ability to interact effectively with both field personnel and office teams
Proven ability to manage multiple tasks at once, stay organized under pressure, and follow through on time-sensitive requests
Proficiency with Microsoft Office applications, including Outlook, Excel, and Word
Comfortable learning new technology, including service software, logistics tools, and AI-enabled platforms
Experience in mechanical, electrical, HVAC, or related service environments is a plus
