We are a leading, fast-growing construction and asset maintenance company based in Melbourne’s booming Western Suburbs. As our pipeline of projects continues to expand, we are looking for an organised, sharp, and proactive Service Coordinator to keep our daily operations running like a well-oiled machine.

Job Responsibility

  • Coordinate and allocate daily schedules for site technicians, subcontractors, and equipment
  • Act as the primary point of contact for incoming service requests, providing exceptional customer service and timely updates
  • Raise work orders, track job progress from start to finish, and ensure data is accurately logged in our job management system (SimPRO/Aconex/similar)
  • Assist with preparing compliance documentation, permits, and OHS variations
  • Collate technician timesheets and job completions to assist the finance team with prompt invoicing

Requirements

  • Proven experience as a Service Coordinator, Scheduler, or Operations Administrator—ideally within the construction, civil, trade, or engineering sectors
  • Strong proficiency with job management software and MS Office Suite
  • Exceptional verbal and written communication skills with a knack for building quick rapport with tradespeople and corporate clients alike
  • A good understanding of Melbourne’s Western Suburbs geography to optimize travel times for site crews
  • Highly organised with a proactive attitude and the ability to think on your feet when schedules shift last-minute

  • Allocate daily service calls to technicians based on priority, location, and availability through sales force

  • Monitor open calls, particularly those pending due to warranty parts or approvals. Provide timely updates to customers/dealers on the status and expected resolution timeline
  • Ensure technicians submit their service reports on a daily basis. Verify and upload the reports into the sales force for future reference
  • Prepare quotations for service charges, installation charges, chemicals and spare parts based on technician reports. Coordinate with the Order Management Team for invoicing, order processing, and dispatch of parts
  • Inform the customer/dealer upon successful completion of the service call and share the signed Service Report via email and update the sheet to mark the case as closed
  • Daily update sales force activities and task within the respective assets and technician visit to maintain transparency and smooth coordination
  • Ensure adherence to defined TAT (Turnaround Time) for all service activities
