Job Description

Our client in Schenectady, NY is seeking a detail-oriented and proactive Service + Billing Administrator to support their Service Department. This temp-to-hire role plays a critical part in coordinating service operations, billing, customer communication, and administrative processes. The ideal candidate will serve as a key liaison between service technicians, office staff, accounting, and customers while ensuring accurate records and smooth day-to-day service workflows.

Job Responsibility

  • Process purchase orders and service billings accurately and timely
  • Coordinate closely with the Service Director regarding active and ongoing jobs
  • Follow up directly with customers regarding outstanding accounts receivable balances
  • Collaborate with accounting staff on vendor invoices related to service operations
  • Serve as the primary liaison between service technicians and office/administrative staff
  • Assist with monthly sales tax filings related to service activity
  • Review weekly service payroll for accuracy prior to HR processing
  • Draft preventative maintenance agreements and small job proposals
  • Assist with quote creation for both existing and prospective customers
  • Track preventative maintenance due dates and coordinate scheduling with technicians
  • Perform daily, weekly, and monthly maintenance of service records and documentation

Requirements

  • Prior experience in service administration, billing, or office coordination preferred
  • Strong communication skills with the ability to interact professionally with customers and internal teams
  • High attention to detail and strong organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with accounting or service management systems preferred
  • Experience with Sage 300 CRE is a plus
