Job Description

We are looking for a detail-oriented Service Biller to join our team in Vienna, Virginia. In this role, you will handle administrative tasks in a fast-paced environment, ensuring accuracy and efficiency in service invoicing while juggling multiple priorities. This is a long-term contract position ideal for someone organized, friendly, and capable of maintaining composure under pressure.

Job Responsibility

  • Prepare and finalize service invoices for multiple automotive dealerships, ensuring accuracy in billing for labor, parts, and warranty claims
  • Review warranty labor costs in line with manufacturer guidelines, verifying repair details for compliance and redundancy
  • Monitor cost controls, including technician labor, factory incentives, dealer specials, and discounts, adhering to dealership and manufacturer regulations
  • Communicate regularly with service management, advisors, and technicians to ensure alignment with dealer and manufacturer policies
  • Access and manage computer files, compiling reports as needed to support administrative processes
  • Maintain a neat appearance and organized work area to uphold company standards
  • Ensure timely completion of invoicing tasks while managing shifting priorities and deadlines
  • Follow instructions provided by supervisors and collaborate effectively with team members
  • Double-check all tickets for accuracy, including hours and spelling, before closing them out
  • Provide excellent customer service and maintain a friendly demeanor in interactions with service advisors and other staff

Requirements

  • Minimum of 1 year of experience in an administrative or billing role, preferably within the automotive industry
  • Strong communication skills with the ability to interact effectively with team members and management
  • Proven ability to thrive in high-pressure environments with multiple moving parts
  • Exceptional organizational skills and attention to detail, ensuring accuracy in all work
  • Proficiency in using computer systems and compiling reports
  • Ability to manage multiple tasks simultaneously while meeting deadlines
  • Friendly and detail-oriented approach when handling inquiries and resolving issues

Nice to have

Familiarity with warranty labor coding and automotive billing processes is a plus

  • Monitor and respond to emails at least 3x daily, ensuring a 'don't worry, I'll take care of this' level of service
