We are looking for a Senior Workplace Experience & Safety Specialist to join our team on a 9 month fixed term contract (maternity leave coverage). In this role, you will drive office logistics, workplace safety, and employee engagement initiatives, helping to support and enhance office operations across our global footprint. You will ensure compliance with health and safety regulations while contributing to a safe, efficient, and engaging work environment. Reporting to the Manager, Workplace Experience, this role is ideal for someone passionate about facilities management, workplace safety, and employee experience in a dynamic, global setting.
Job Responsibility:
Oversee facilities operations for the Luxembourg office, and support additional office locations as needed, collaborating closely with leadership to ensure seamless workplace management
Act as a Workplace Health & Safety representative, ensuring compliance with workplace safety regulations, policies, and best practices across office locations
Lead workplace safety initiatives, including enforcing health & safety policies, conducting risk assessments, and maintaining regulatory compliance documentation
Develop and implement emergency response protocols, oversee evacuation drills, and coordinate workplace safety training to ensure employee preparedness
Build and manage relationships with facilities vendors, suppliers, and contractors, ensuring high-quality service and cost-effective solutions
Collaborate with the Workplace Experience Team to seek continuous improvements, develop maintenance plans, coordinate office moves, and schedule repairs as needed to support our operations
Manage and resolve facilities-related requests through Zendesk, ensuring timely issue resolution for EMEA offices while providing cross-regional support as needed
Track budgets and invoices to ensure cost-effective facilities and event operations
Serve as the primary liaison with regulatory bodies, occupational health services, emergency responders, and workplace safety authorities
Develop and implement global employee engagement initiatives, ensuring an inclusive experience for both remote and in-office employees
Work with Employee Resource Groups (ERGs) to help with any catering and/or in-office help for ERG events
Perform other related duties as assigned
Requirements:
Experience in facilities, workplace experience, and/or project coordination: 5-8 years of related experience
Experience with workplace health & safety, risk assessments, or occupational safety compliance is an asset
Experience managing global event (in-person and virtual)
Completion of or willingness to obtain the required Health & Safety Designated Worker training in Luxembourg within 12 months of hire, as per local regulation
Excellent organizational skills
Solid understanding of monitoring and tracking budgets
