Job Description

Onnec are seeking a Senior Team Administrator to provide comprehensive administrative, coordination and systems support to the senior project team across ONNEC’s rapidly expanding APAC region, with a primary focus on Malaysia. The role supports multiple hyperscale data centre cabling projects by helping the senior team stay organised, informed and able to focus on project delivery. The post holder will act as a proactive “catch all” administrative support resource, taking ownership of a wide range of departmental tasks, trackers, documentation, reporting and coordination activities. This position requires a highly organised self-starter with excellent IT and administrative skills, strong attention to detail and the confidence to work across a busy, fast-paced project environment where priorities can change quickly.

Job Responsibility

  • Provide proactive day-to-day administrative support to the APAC senior project leadership team
  • Act as a central coordination point for departmental administration, follow-ups, trackers and routine information requests
  • Manage diaries, meetings, agendas, actions and minutes where required, ensuring clear ownership and timely completion of follow-up items
  • Support senior managers with preparation of presentations, reports, project updates and internal communications
  • Identify opportunities to improve administrative routines, simplify processes and create better visibility for the senior team
  • Maintain project-related trackers, action logs, resource information, mobilisation records and departmental schedules
  • Support the coordination of information across multiple hyperscale data centre cabling projects in Malaysia and the wider APAC region
  • Follow up on outstanding actions, deadlines and administrative requirements to help ensure projects remain well controlled and visible
  • Assist with onboarding, travel coordination, site access administration and project mobilisation requirements for project-related staff where required
  • Provide flexible support across a broad range of project administration tasks as priorities evolve
  • Maintain accurate data across departmental trackers, spreadsheets, systems and shared files
  • Collate, validate and present information for senior team reporting, operational reviews and project governance meetings
  • Develop and improve templates, trackers and dashboards to support consistency, visibility and decision-making
  • Ensure project documents, records and data are stored logically, maintained accurately and version controlled
  • Use strong Microsoft Office skills, particularly Excel, Word, PowerPoint and Teams, to support efficient administration and reporting
  • Coordinate communication and information flow between APAC project leadership, project teams, commercial, finance, HR and other support functions
  • Support departmental routines, governance processes and project administration standards across the region
  • Help create structure in a rapidly growing environment by maintaining clear records, agreed processes and reliable administrative controls
  • Handle confidential and commercially sensitive information with discretion and professionalism

Requirements

  • Strong administrative and organisational skills
  • Excellent IT skills, particularly Microsoft Excel, Word, PowerPoint, Outlook and Teams
  • Experience supporting senior stakeholders, project teams or operational leadership
  • Ability to manage multiple priorities, work to deadlines and follow up effectively without constant direction
  • High attention to detail and confidence working with trackers, spreadsheets, documentation and structured data
  • Clear written and verbal communication skills, with confidence engaging across different functions and levels of seniority
  • Proactive, self-starting and solutions-focused approach, with the confidence to take ownership and make improvements
  • Discreet, reliable and professional when handling confidential or sensitive information

Nice to have

  • Experience supporting construction, engineering, data centre, ICT or structured cabling project environments
  • Experience working in a regional, multi-site or international business environment
  • Experience producing management information, dashboards, project reports or operational trackers
  • Exposure to project mobilisation, onboarding, site access, travel coordination or document control activities
  • Knowledge of Malaysia or wider APAC business administration practices would be advantageous
