In this role, you will be accountable for compiling information, preparing presentations, and coordinating tasks with vendors and lines of business. The ideal candidate is highly organized and adaptable, able to support the most critical tasks required within the current phase of each project. Typically this role includes both corporate (head office) and distribution (sales) offices however this term role will be specifically focused on supporting the restack, renovation, moves & consolidation of teams within and between several downtown Toronto offices.
Job Responsibility:
Supporting program and project managers in the delivery of active projects
Coordinating the delivery of smaller projects (under $1M), including moves/adds/changes and other minor initiatives
Support project delivery by participating in weekly vendor and internal coordination meetings and ensuring all deliverables and action items are tracked to completion
Support operational readiness activities, including workplace amenities, equipment installations, and business move coordination
Compile data from multiple sources to prepare leader updates, presentations, and project summary reports
Maintain and track action items, following up with stakeholders as required
Process purchasing requests, issue purchase orders, and coordinate invoice payments
Maintain the project financial tracker with accurate and timely updates
Coordinate vendor site visits, including work permits, dock/elevator access, and onsite escorting when required
Coordinate moves, adds, and changes, as well as assigned projects, with vendors and business stakeholders
Requirements:
Bilingual preferred (English & French)
Strong communication skills, experience in project coordination, facilities or construction management and proven tracking and reporting skills
