At Vestwell, our people make all the difference. As we continue to scale, we are looking to add a Senior Specialist to join our Billing team, within the Finance department. As a Senior Specialist in the Billing Team, you will play a critical role in supporting end-to-end billing operations for advisors and external partners. You bring strong attention to detail and accountability to managing billing activities, ensuring accuracy across statements and payments while helping maintain the financial health of the business. You are comfortable working cross-functionally with internal teams and external partners, proactively resolving issues, and communicating clearly to keep processes moving. You take ownership of your work, contribute to close and reconciliation activities, and look for opportunities to improve and scale processes through better controls, automation, and system enhancements.

Job Responsibility

  • Perform end-to-end billing tasks for external partners including reviewing contracts and fee documentation, setting up and maintaining partners’ profiles in internal systems, managing statements generation, and processing payments
  • Prepare, review, and distribute statements, ensuring accuracy, completeness, and alignment with contractual terms
  • Investigate and resolve fee discrepancies, including corrections, adjustments, and address root causes to prevent recurring issues
  • Process payments, maintain records and resolve returned or failed payments
  • Serve as the primary point of contact for external partners’ inquiries, coordinate internal response, and close the loop with clear communication
  • Participate in month-end, quarter-end, and year-end close processes, including reconciliations and audit support
  • Contribute to the implementation and enhancement of billing systems, processes, and controls to improve accuracy, efficiency, and scalability

Requirements

  • Bachelor’s degree in Finance, Accounting, or a related field
  • 3-5 years of experience in billing, accounts receivable, or finance operations
  • Strong external relationship management
  • Proficiency in Excel
  • Excellent communication skills, both written and verbal
  • Ability to work independently and as part of a team
  • Attention to detail and commitment to accuracy
