Job Description

The Senior Payroll & HR Administrator is responsible for managing end-to-end payroll operations while supporting key HR functions for multiple clients. This role ensures accurate payroll processing, compliance with federal and state regulations, and effective collaboration with HR platforms and systems. The ideal candidate brings strong payroll expertise, HR systems knowledge, and experience working within a payroll services environment.

Job Responsibility

  • Manage end-to-end payroll processes for multiple clients, ensuring accurate and timely processing of payroll on a weekly, bi-weekly, and monthly basis
  • Ensure all payroll activities comply with federal, state, and local regulations, as well as relevant labor laws and industry standards. Stay up to date with changes in tax laws, wage rates, and compliance requirements
  • Generate and review detailed payroll reports for clients, identifying discrepancies, tax deductions, benefits, and contributions
  • Prepare and file quarterly and year-end payroll reports and tax documents, including 941s, 940s, W-2s, 1099s, and other required federal and state filings
  • Perform regular payroll audits and reconciliations to ensure accuracy of wages, deductions, benefits, garnishments, and tax payments
  • Maintain strict confidentiality and follow internal security protocols to safeguard sensitive employee payroll data
  • Serve as liaison between payroll and HR to ensure accurate employee data flow, including new hires, terminations, compensation changes, and benefits updates
  • Support onboarding and offboarding processes as they relate to payroll and HR system setup
  • Maintain and update employee records within payroll and HRIS platforms
  • Collaborate with HR platforms such as Employee Navigator to ensure accurate benefits administration and data integration with payroll systems
  • Assist with benefits administration, deductions, open enrollment coordination, and reporting
  • Support compliance with HR-related regulations including wage and hour laws, leave policies, and reporting requirements
  • Act as the primary point of contact for clients regarding payroll and HR-related inquiries, discrepancies, and concerns
  • Provide exceptional customer service and expert guidance on payroll processing, tax compliance, and HR system workflows
  • Supervise and mentor junior payroll and HR administrators, providing training on best practices, procedures, and compliance requirements

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or related field (or equivalent work experience)
  • Minimum of 5 years of payroll administration experience, ideally working at a payroll company such as ADP, Paychex, or Asure
  • Experience interacting with HR platforms such as Employee Navigator and supporting HRIS integrations
  • In-depth knowledge of payroll processing, tax regulations, and compliance requirements (federal, state, and local)
  • Hands-on experience with payroll systems such as ASURE, ADP, Paychex, or similar platforms
  • Strong proficiency in Microsoft Excel and related reporting tools
  • Exceptional attention to detail and high level of accuracy
  • Excellent organizational and time-management skills
  • Ability to work independently and collaboratively in a fast-paced environment
  • Strong written and verbal communication skills
