Unique opportunity to join one of Europe’s leading quantum computing companies in Dublin. As a result of a successful funding round and a continued growth period, the business is looking a highly organised and proactive Senior Office/Facilities Administrator to support day-to-day operations across our finance and administrative functions. This role will play a key role in keeping core processes running smoothly, spanning scheduling and travel coordination, document control and record management, purchasing and procurement administration, and office coordination.
Job Responsibility:
Booking and scheduling meetings, including agenda coordination for ad hoc travel and visitors
Preparing meeting minutes and notes
Data and document management, including contracts, NDAs, policies, and insurance docs
Managing onboarding and offboarding processes
Office coordination and support
including supplies, vendors, meeting rooms, post, couriers etc…
Creating presentations and spreadsheets
Liasing with finance and other teams to support smooth operations and processes
Requirements:
Background working in a senior operations/administrative role in a fast-paced environment
Excellent organisational skills
Advanced proficiency in Google Workspace
Strong ownership mindset
High attention to detail and strong document control habits
Nice to have:
An understanding of finance literacy would be an advantage, including basic accounting concepts and terms
