NTT DATA Belgium is seeking a highly experienced and self‑driven Senior Office Coordinator & Executive Assistant to ensure the smooth and efficient functioning of our Benelux office and to provide strategic administrative support to senior leadership. This role combines executive-level support, office operations management, and cross‑functional coordination, requiring excellent communication, problem‑solving skills, and mature stakeholder management. Job Responsibility:
Provide high‑quality executive assistance to senior managers, including complex diary management, prioritisation, and decision‑support preparation
Anticipate needs and proactively manage schedules, tasks, documents, and follow-ups
Prepare executive-level presentations, briefs, reports, and internal communications
Support strategic initiatives by coordinating tasks, deadlines, and stakeholders across departments
Always ensure discretion and confidentiality
Oversee the daily operations of the Benelux offices, ensuring a professional, efficient, and welcoming environment
Supervise interactions with external suppliers: facilities, security, cleaning, office services, and maintenance
Lead local office projects (layout improvements, equipment upgrades, sustainability initiatives, etc.)
Monitor budgets related to office supplies, small purchases, and vendor contracts
Ensure compliance with internal policies and local workplace standards
Act as the key operational liaison between local teams and corporate departments such as Finance, Procurement, Legal, HR, and Facilities
Support internal audits, process improvements, and policy implementation when required
Coordinate and leading the Personal assistants’ teams, ensuring alignment and clarity
Plan and deliver high‑quality business events: leadership meetings, workshops, visits, corporate activities, team gatherings
Coordinate all logistical aspects: venues, catering, agendas, communications, budgeting, and follow-up actions
Lead or support internal projects requiring strong planning and organisational capabilities
Contribute to a positive employee experience: onboarding, first‑day support, general office guidance
Maintain updated internal documentation, office guidelines, and communications channels
Communicate clearly and effectively with the Brussels office community
Requirements:
5–10 years of experience in a senior administrative, executive support, or office management role
Proven experience supporting senior leadership and managing complex operational responsibilities
Strong organisational, prioritisation, and multi-tasking skills with impeccable attention to detail
Excellent interpersonal skills and ability to influence and collaborate with various stakeholders
Fluency in English
French Dutch strongly preferred
Solid Microsoft 365 skills (Outlook, Teams, Excel, PowerPoint, SharePoint)
