Job Description

The Senior Lease Administrator is responsible for managing the day-to-day administration of a portfolio of commercial properties, including lease abstraction, billing, and compliance with lease agreements. This role serves as a key liaison between landlords, tenants, and internal teams to ensure accurate reporting, effective communication, and adherence to lease terms. The position requires strong attention to detail, organization, and the ability to manage multiple priorities in a fast-paced environment.

Job Responsibility

  • Abstract and maintain lease data for new and existing leases within assigned portfolio
  • Prepare and distribute lease documentation, including rent commencement letters and required notices
  • Process annual rent increases and ensure timely notification to tenants
  • Perform account reconciliations and process account adjustments as needed
  • Generate monthly rent rolls and bill miscellaneous tenant charges
  • Maintain and monitor co-tenancy schedules and related lease requirements
  • Track critical lease dates, milestones, and compliance deadlines
  • Support base rent collections and follow up on outstanding balances
  • Respond to tenant inquiries and manage ongoing correspondence
  • Collaborate with internal stakeholders and co-sourcing partners to support portfolio management
  • Prepare special billings and assist with ad hoc projects and reporting needs
  • Ensure accurate documentation and maintain organized lease records
  • Perform additional duties and special projects as assigned

Requirements

  • 3+ years of lease administration experience required, preferably within retail real estate or property management
  • Bachelor's degree preferred
  • Strong ability to interpret and apply complex lease language
  • Highly organized with strong attention to detail and time management skills
  • Ability to work both independently and collaboratively in a team environment
  • Demonstrated ability to manage multiple priorities and meet deadlines
  • Intermediate proficiency in Microsoft Excel and strong working knowledge of Microsoft Word
  • Experience with JD Edwards (JDE) Property Management system preferred
  • Working knowledge of Adobe and Salesforce systems is a plus
  • Excellent written and verbal communication skills
