The Senior Grants Accountant plays a key role in ensuring responsible stewardship of grant funding, supporting program success, and maintaining compliance with funder and regulatory requirements.
Job Responsibility
Prepare and submit accurate, timely invoices in accordance with grant and contract agreements
Track billing schedules and maintain detailed records of invoices, payments, and outstanding receivables
Support month-end and year-end close processes, including grant revenue recognition
Partner with program staff to ensure deliverables and reporting requirements are met to enable timely billing
Follow up with funders on outstanding receivables while maintaining positive relationships
Ensure compliance with federal, state, and local regulations, including Uniform Guidance (2 CFR Part 200) and funder-specific requirements
Monitor grant expenditures to ensure alignment with approved budgets and allowable cost principles
Lead grant closeout processes, including reconciliations, final invoicing, and financial reporting
Facilitate regular grant review meetings with program teams to support compliance and financial clarity
Prepare and review general ledger entries, including payroll allocations, ensuring effort reporting aligns with funding requirements
Maintain complete, organized grant files, including agreements, amendments, reports, and supporting documentation
Track and document cost-sharing or matching contributions to ensure commitments are met and properly recorded
Prepare journal entries to allocate or reclassify expenses across grants and funding sources
Monitor administrative and indirect costs to ensure compliance with funding restrictions and allowable limits
Support the accurate allocation of shared costs, including staffing and operational expenses
Prepare audit schedules and provide supporting documentation for annual financial and single audits
Respond to auditor and funder inquiries in a timely and professional manner
Assist with preparation for funder monitoring visits and implement recommended improvements
Collaborate with program managers to develop, monitor, and manage grant budgets
Prepare monthly financial reports comparing actual expenditures and revenue to budget
Identify and address variances, including unallowable or misclassified costs
Independently manage pre-award and post-award financial activities, ensuring compliance and financial accuracy
Partner with finance leadership and program teams to track and update staffing allocations impacting grant budgets
Support routine and ad hoc financial reporting and analysis for leadership and funders
Maintain and update FTE tracking to reflect grant funding, proposals, budget revisions, and staffing changes
Serve as backup support for grant accounting functions during absences or periods of increased workload to ensure continuity of operations and compliance
Requirements
Bachelor's degree in Accounting, Finance, or a related field
5+ years of accounting experience, including nonprofit grant accounting
Knowledge of fund accounting and grant compliance requirements
Experience with grant billing, reporting, and closeout activities
Proficiency with accounting systems and advanced spreadsheet applications
Strong attention to detail, organizational skills, and ability to manage multiple deadlines
