Job Description:

This position supports the Facilities Manager in all facilities-related activities onsite while conducting regular site inspections to ensure building standards are maintained and facility conditions support timely issue resolution. You will cover vacant roles temporarily, lead day-to-day vendor management including F&B, cleaning supplies, and office materials while completing yearly contracts and vendor onboarding. This role contributes to JLL's business objectives by acting as main contact point for facilities-related matters onsite, handling client requests professionally, maintaining strong stakeholder relationships, and ensuring implementation of safe workplace practices that enhance client satisfaction and operational excellence.

Job Responsibility:

  • Support Facilities Manager in all facilities-related activities onsite while conducting regular site inspections to ensure building standards are maintained
  • Maintain facility condition and support timely resolution of issues while covering vacant roles temporarily and ensuring smooth handover
  • Lead day-to-day vendor management for F&B, cleaning supplies, and office materials while completing yearly contracts and vendor onboarding
  • Support procurement and vendor selection processes when required while monitoring and evaluating contractor performance onsite
  • Assist in creating and managing facility budget while processing invoices and financial documentation promptly and accurately
  • Act as main contact point for facilities-related matters onsite and handle client requests and ad-hoc issues professionally
  • Ensure implementation of safe workplace practices and emergency protocols while supporting disaster recovery and business continuity plans

Requirements:

  • Experience in facilities management and site operations with ability to conduct regular building inspections
  • Knowledge of vendor management including procurement processes, contract completion, and vendor onboarding procedures
  • Understanding of facility budgeting and financial documentation processing with invoice management experience
  • Strong client and stakeholder management skills with ability to handle requests professionally and efficiently
  • Knowledge of health, safety, and risk management including safe workplace practices and emergency protocols
  • Understanding of disaster recovery and business continuity plans with incident reporting and escalation processes
  • Ability to meet KPIs and SLAs while maintaining facility condition and building standards

Nice to have:

  • Background in F&B, cleaning supplies, and office materials vendor management
  • Experience with yearly contract management and insurance documentation completion
  • Knowledge of contractor performance monitoring and evaluation processes
  • Understanding of after-hours HVAC and lighting coordination procedures
  • Experience covering multiple facility roles including FC and Receptionist functions
  • Strong relationship-building skills across all levels of stakeholders and clients
  • Familiarity with JLL's risk and safety standards and compliance requirements
