You will be the operational backbone for our Chief Commercial Officer and Global Head of Marketing, not just managing calendars, but actively anticipating needs, closing loops, and enabling leaders to move fast with confidence. This role operates at significant scale. The CCO and Global Head of Marketing collectively carry a high meeting load across internal teams, external partners, and a global organization. The ability to manage this volume proactively is essential.
Job Responsibility:
Serve as the dedicated EA to the Chief Commercial Officer and Global Head of Marketing
Own complex, high-volume calendar management
Prepare and distribute weekly meeting agendas
Act as the primary point of contact between the CCO, Global Head of Marketing, and internal and external stakeholders
Coordinate domestic and international travel
Prepare, edit, and proofread documents, reports, and presentations
Process expense reports, track budgets, and maintain accurate financial records
Support candidate experience during interview processes
Plan and execute team off-sites, corporate events, training sessions, and conferences
Manage incoming correspondence
Collaborate closely with the broader EA and administrative team
Support the CCO and Global Head of Marketing on special projects and initiatives
Partner across the global organization
Requirements:
7+ years of EA or senior administrative experience, with meaningful time supporting C-Suite executives directly
Bachelor’s degree in Business Administration, Office Management, or equivalent relevant experience
Demonstrated track record in a fast-paced, scaling environment
A reputation for exceptional follow-through and proactive problem-solving
Fast, responsive communication style
Strong independent judgment
Exceptional organizational skills and meticulous attention to detail
Strong written and verbal communication skills
High proficiency in G-Suite, Microsoft Office, and DocuSign
Proven ability to handle sensitive and confidential information with absolute discretion
Ability to work onsite five days per week in Pleasanton, CA

Experience supporting multiple C-Suite executives simultaneously within a scaling organization
Familiarity with global team coordination across multiple time zones
