Job Description

We are seeking an accomplished, forward-thinking Senior Executive Assistant (d/f/m) to provide top-tier administrative and strategic support to our CEO and senior leadership team at mobile.de. This pivotal role is ideal for a seasoned professional who excels at anticipating needs, orchestrating complex priorities, and ensuring seamless operations in a fast-paced, international environment. As a trusted partner to our C-level leaders, you will not only manage day-to-day logistics but also act as a proactive force in driving effective executive operations. You will be instrumental in enabling our executives to focus on high-impact initiatives, while you handle the details with precision, foresight, and discretion. You’ll join a small team of Executive Assistants, collaborating both within mobile.de and across the broader Adevinta network, and contributing to a culture of excellence, support, and shared success.

Job Responsibility

  • Manage complex calendars, scheduling meetings across time zones, and anticipating conflicts and ensuring the executive schedule reflects priorities
  • Coordinate domestic and international travel arrangements, including itineraries and logistics
  • Prepare, proofread and edit high-quality communication materials to ensure clarity, professionalism and alignment with leadership priorities
  • Plan and support leadership meetings, including agenda development, note-taking, and follow-up actions
  • Serve as the primary point of contact between executives and internal/external stakeholders
  • Manage and coordinate key projects and events on behalf of the executive team, ensuring seamless execution from concept to completion.
  • Represent the executive office at internal and external events, fostering strong relationships and acting as an ambassador for our culture and values
  • Drive and participate in cross-functional initiatives that help shape and strengthen our internal culture and operational excellence
  • Drive initiatives to improve executive efficiencies, support special projects, and lead operational initiatives as needed
  • Handle confidential information with discretion and professionalism.
  • Work closely with other Executive Assistants and support teams within Adevinta, fostering a collaborative, high-performing environment

Requirements

  • 5+ years supporting senior executives in a dynamic, international business environment, with a track record of managing complexity at scale
  • Exceptional organizational, time management, and multitasking skills
  • Strong written and verbal communication skills
  • Proficient with Office/Google Workspace and quick to master new tools, systems, and processes
  • High degree of integrity, professionalism, and emotional intelligence
  • Self-motivated, energetic, and resilient—bringing ownership, curiosity, and a growth mindset to everything you do
  • Business fluency in both German and English
