Job Description:

The service will operationalise the Tower Event & Hospitality services of the Dublin Tower, to ensure all elements of logistics for both daily use and groups are functioning 100% at all times and meeting all compliance requirements.

Job Responsibility:

  • Provide advanced and solid administrative support for all Events & Hospitality requests & bookings
  • Use advanced organisation to coordinate the extensive management of all ticket requests meeting SLAs and delegating as required
  • Ensure the booking & planning of events & meeting room requests as required
  • Research, setup and own the relationship with key external suppliers & vendors as needed
  • Ensure the execution of all events & meetings is met to a high standard by working with the Event Operations team and other key stakeholders
  • Coordinate the delivery of events & key meetings on the day
  • Follow processes accurately around areas such as GS&S, the loading bay, AV etc.
  • Ensure event checklist tasks are completed every time
  • Action & complete tickets within identified SLAs
  • Provide an open communication to other key departments and build invaluable relationships attending meetings/calls
  • Ensure a good understanding of all events & hospitality spaces, knowledge in setups, capacities and other general information
  • Monitor, assess & action or delegate all requests and enquiries via all available sources across WPS, including face to face, emails, slack posts, workflows etc.

Requirements:

  • Deep understanding of Traction GMS and Salesforce Ticketing system
  • Advanced and solid administrative support skills
  • Advanced organisation to coordinate extensive management of all ticket requests
  • Ability to research, setup and own relationships with key external suppliers & vendors
  • Ability to follow processes accurately around areas such as GS&S, loading bay, AV
  • Ability to monitor, assess & action or delegate all requests and enquiries via all available sources across WPS, including face to face, emails, slack posts, workflows

  • Prepare BEO packets two weeks out for the weekly meetings and distribute to all the departments & catering captains
  • Attend Weekly BEO Meetings
  • Assist and oversee day of event setup and logistics with Event Captain, CSM, Event Sales Manager and Director of Events
