This essential role helps to provide high quality/high touch critical administrative support to Financial Advisors, their prospective and existing clients and other branch staff team members. The ideal candidate will have effective communication skills across multiple platforms (phone, email, in-person, virtual), as well as the ability to organize, manage, and track multiple, detailed tasks and assignments with frequently changing priorities and deadlines in a fast-paced, task-oriented work environment. Job Responsibility:

  • Service a high volume of daily interactions, including basic inquiries and scheduling of meetings, with prospective and existing clients on the phone, in-person, virtually and through mailings
  • Work both independently and within a dynamic team environment to provide crucial support to the financial advisors and branch office
  • Open new client accounts, research client and security information and track daily contacts for team using internal databases and other technologies
  • With a high level of organization and attention to detail, process documents for insurance purchases, review close outs, distributions and Roth IRA conversions, as well as maintenance of 529 accounts for clients and college payments
  • Prepare various business summary reports and client-specific reporting as needed for review by the financial advisor
  • Oversee the process of outside account reporting, securities litigation submissions and renewing of insurance and state securities licenses
  • For proper maintenance and to meet firm and industry requirements, ensure client paperwork and documentation is accurate and correct prior to submission and processing. Follow up to ensure accurate completion
  • Prepare letters, forms and reports to assist with servicing existing clients and prospecting for new clients
  • Create and maintain records and files utilizing Client Relationship Management (CRM) software
  • Assist Financial Advisors with marketing efforts including brochures, team website updates and posting of LinkedIn articles
  • May enter orders at the direction of the Financial Advisor
  • Actively engage in available training/cross-training and educational and/or professional development opportunities to remain current on firm and industry policies and procedures
  • Perform other duties and responsibilities as assigned

Requirements:

  • High School Diploma or equivalent
  • Minimum of three (3) years financial services industry experience
  • Knowledge of company’s working structure, policies, mission, and strategies
  • Knowledge of general office practices, procedures, and methods
  • Knowledge of investment concepts, practices and procedures used in the securities industry
  • Knowledge of financial markets, products and industry regulations
  • Skill in Client Relationship Management (CRM) software, or similar contact management software
  • Skill in Excel, including developing spreadsheets as needed and for ongoing reporting
  • Skill in effective communication across multiple client interactive platforms (in-person, virtual, phone and mail)
  • Ability to operate standard office equipment and using required software applications to produce correspondence, reports, electronic communication, spreadsheets, and databases
  • Ability to analyze and research account information
  • Ability to organize, manage, and track multiple, detailed tasks and assignments with frequently changing priorities and deadlines in a fast-paced, task-oriented work environment
  • Ability to identify time sensitive items and assess competing priorities
  • Ability to take initiative and proactively follow up on submitted items to ensure completion

  • Simplify technology across the group, with key focus on client query tooling, data and reporting
  • Drive Citi initiatives aimed at reducing the high level of touch points and queries within the Bank related to Custody processes
  • Continually review and enhance the Client services processes in partnership with the Functional Heads and direct management team to drive positive client experience
  • Support the execution of any associated Location Strategy activities, ensuring that the operation remains fully compliant with all aspects of Send/Receive site requirements, whilst ensuring suitable training material and post go live support is robust and executed
  • Collaborate with the Productivity Office to assess and support opportunities to reduce inefficiency within the Function
  • Promptly recognize and take action on gaps within the process control framework to ensure that the control steps across the lifecycle of the process are relevant, documented and understood within the process teams
