Job Responsibility:
Job Set-Up & Invoicing: Ensure smooth operations by managing job setups and invoicing processes
Call Handling & Communication: Be the welcoming voice of our office, handling calls and preparing essential documents
File Management: Maintain organised file systems for easy access and retrieval of information
Diary Management: Coordinate schedules with electronic and paper diaries as needed
Team Collaboration: Work alongside fellow Administrators to ensure seamless departmental operations
Take minutes for meetings and compile reports
Liaise with tenants and contractors to ensure clear communication
Analyse data using Excel to compile insightful reports
Produce accurate documents including letters, invoices, and spreadsheets
Manage diary input and organise meetings effectively
Provide exceptional customer service to all office visitors and callers
Maintain compliance knowledge for administrative purposes
Shadow site inspections to enhance your understanding of the role
Manage KPIs and prioritise tasks effectively
Requirements:
Excellent administration and organisational skills
Prior experience providing team support
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Strong time management and attention to detail
