We are seeking a dynamic Senior Administrator to join the Rapport team. This role sits at the heart of the Facilities Management function, supporting the smooth delivery of projects, asset verification, and day‑to‑day operational excellence across a network of retail stores. It’s a position for someone who brings structure, tenacity, and a calm, organised approach to a fast‑moving environment. You’ll work closely with a team of Facilities Managers, helping to coordinate their work, track progress, and hold them accountable for delivering on commitments. A big part of the role is driving projects to completion, keeping timelines tight, actions clear, and everyone aligned. The role also includes deep involvement in service‑provider reporting, so strong Excel skills are essential. You’ll be working confidently with pivot tables and detailed datasets to ensure reporting is accurate, timely, and actionable. This is a great fit for someone who is self‑motivated, comfortable managing multiple stakeholders, and confident keeping both the team and leadership on track.
Job Responsibility:
Coordinate project administration and ensure tasks move from planning to completion with clear ownership and timelines
Support asset verification and maintain accurate records across all store locations
Work closely with Facilities Managers, providing structure, follow‑up, and accountability to keep workstreams on track
Monitor service‑provider performance through detailed reporting, using advanced Excel skills (including pivot tables) to analyse data and highlight trends
Maintain strong communication with both the Facilities Management team and leadership, ensuring priorities are clear and progress is consistently reviewed
Bring a proactive, self‑driven approach to identifying gaps, chasing actions, and keeping the wider team aligned
Requirements:
Exceptional organisational skills and the ability to manage competing priorities
Advanced Excel capability including complex formulas, pivot tables, reporting dashboards and data manipulation
A proactive, self-starting mindset
Strong accountability, someone who owns their actions and delivers without constant supervisor
Excellent communication skills and stakeholder management
Brings energy, initiative and a strong sense of responsibility
