Job Responsibility

  • Keeping day-to-day operations running smoothly
  • Managing records, systems, and documentation - keeping everything accurate and audit-ready
  • Coordinating admissions, contracts, and general paperwork
  • Handling calls, emails, post, and visitor enquiries
  • Organising meetings, diaries, and general office coordination
  • Assisting with invoicing and tracking incoming payments
  • Supporting funding administration and basic reconciliation
  • Processing purchase orders, supplier invoices, and petty cash
  • Helping monitor costs (think staffing, suppliers, general spend)
  • Supporting reporting and general finance admin tasks
  • Supporting recruitment admin and onboarding processes
  • Coordinating compliance checks (PVG, right to work, etc.)
  • Maintaining staff records and assisting with payroll queries
  • Helping keep everything organised behind the scenes
  • Acting as a key point of contact for families and professionals

Requirements

  • Strong administration experience
  • Some exposure to finance tasks (invoicing, payments, accounts admin etc.)
  • Highly organised, detail-focused, and reliable
  • Confident communicator with a friendly, approachable style
  • Comfortable handling sensitive or emotional situations when needed
  • Proactive mindset - someone who just gets things done
  • Good IT skills (Excel, systems, etc.)
