Job Responsibility:
Provide comprehensive administrative support to executive leadership, ensuring precision, organization, and timely execution of tasks
Manage the executive calendar, handling scheduling requests and ensuring efficient prioritization of meetings and commitments
Prepare and distribute meeting agendas, materials, and notifications while taking minutes and ensuring follow-up actions are completed
Organize travel arrangements for the executive, including accommodations, itineraries, and expense reporting
Maintain confidentiality in all aspects of work, safeguarding sensitive information and supporting secure office operations
Assist in researching, developing, and implementing projects, tracking progress, and ensuring deadlines are met
Collaborate with diverse teams and workgroups, providing coordination and support for equity initiatives and employee resource groups
Monitor and report on project milestones, ensuring compliance with deadlines and reporting requirements
Maintain organized filing systems and ensure accessibility while adhering to confidentiality protocols
Oversee office supply inventory, budget tracking, and correspondence management to support efficient operations
Requirements:
Proven experience in calendar management, with the ability to prioritize and schedule complex meetings
Strong communication skills to effectively liaise with executives, teams, and external contacts
Exceptional customer service skills to build positive relationships and address inquiries professionally
Proficiency in Google Suite, including managing documents, spreadsheets, and presentations
Demonstrated ability to coordinate projects and maintain focus on deadlines and deliverables
Experience in scheduling and organizing tasks effectively to support dynamic environments
Detail-oriented with excellent organizational skills to manage multiple responsibilities
Ability to maintain high levels of confidentiality and discretion in all work-related matters
