We are seeking a highly organized and proactive Senior Administrative Assistant with a background in the construction industry to support our executive team and daily operations. This role will directly assist the CEO while also serving as a key support resource across departments, including front desk coverage and logistics coordination. The ideal candidate is detail-oriented, adaptable, and thrives in a fast-paced, team-driven environment.
Job Responsibility:
Provide high-level administrative support to the CEO, including calendar management, meeting coordination, travel arrangements, and confidential correspondence
Act as backup receptionist, managing incoming calls, greeting visitors, and handling front office operations as needed
Support the logistics department with scheduling, tracking shipments, coordinating deliveries, and maintaining accurate records
Prepare reports, presentations, and internal communications
Assist with project coordination, including tracking timelines, documentation, and vendor communication
Maintain organized filing systems (electronic and physical) for contracts, permits, and project documentation
Coordinate meetings, take notes, and follow up on action items
Handle general administrative tasks such as ordering office supplies, managing mail, and supporting cross-functional teams
Assist with special projects and additional duties as assigned
Requirements:
5+ years of administrative experience, preferably within the construction or related industry
Experience supporting executive-level leadership
Strong understanding of construction operations, terminology, and project workflows is highly preferred
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
Excellent organizational, multitasking, and time management skills
Strong written and verbal communication skills
Ability to handle confidential information with discretion
Professional, adaptable, and team-oriented mindset
Nice to have:
Experience working with subcontractors, vendors, or job site coordination
Familiarity with construction documentation such as RFIs, submittals, and permits
Experience with ERP systems, project management tools, or logistics tracking systems is a plus
