Job Description

We’re looking for a detail-oriented, agile, and organized Senior Administrative Assistant to primarily support our VPs in Marketing, with occasional calendar support for Senior Directors in the Marketing org. In this role, you’ll be a key partner to Marketing leadership — ensuring schedule, communications, and strategic initiatives are executed with precision. This role reports to our Senior Executive Assistant; you will frequently work with and collaborate with the Marketing Operations team to support execution. This is a 12-month contract position and it is a remote opportunity within the US, specifically in the Bay Area, California.

Job Responsibility

  • Manage and prioritize the VPs' calendar across time zones, including meeting logistics, preparation, and travel coordination
  • Coordinate travel, expenses, and event planning - including department offsite logistics and leadership meetings
  • Support Marketing VPs and Sr. Directors with ad hoc scheduling and coordination needs
  • Prepare briefing materials, track deliverables, and follow up on action items to help drive accountability across workstreams
  • Draft, edit, and coordinate high-quality internal and external communications on behalf of the VPs
  • Help with calendar planning for Marketing rituals and operational rhythms like Town Hall and QBRs
  • Build strong cross-functional relationships to help represent the Marketing VPs' priorities and unblock communication
  • Maintain discretion and confidentiality in all aspects of your work
  • Provide backup support to other EAs and leadership team members as needed
  • Attend in-person events about once per month as part of this role

Requirements

  • 4+ years as an Administrative Assistant, ideally within Marketing or technology orgs
  • Experience with Google Workspace, Slack, Notion, Asana, and expense management tools
  • Strong written and verbal communication skills, with an understanding of virtual communication etiquette
  • Strong organizational and time management skills, with the ability to work across different time zones
  • Detail-oriented with a commitment to maintaining accuracy while working remotely
  • Self-motivated, disciplined, and capable of working independently with minimal supervision
  • Problem-solving mindset and a proactive approach to addressing virtual challenges
  • Proactive and adaptable — able to anticipate needs, pivot quickly, and navigate ambiguity with composure

Nice to have

  • Experience in a virtual or remote capacity is a plus
  • Familiarity with virtual collaboration and document management tools is advantageous
  • Knowledge of remote work best practices and cybersecurity considerations is a plus
