The Senior Administrative Assistant provides high-level administrative and operational support to leadership and program teams within a nonprofit organization. This role is critical in ensuring efficient office operations, supporting mission-driven initiatives, and coordinating internal and external communications. The ideal candidate is highly organized, detail-oriented, and passionate about supporting community-focused work.
Job Responsibility:
Provide executive-level administrative support to senior leadership (calendar management, meeting coordination, travel arrangements)
Prepare and edit correspondence, reports, presentations, and grant-related documents
Serve as a liaison between leadership, staff, board members, donors, and external partners
Coordinate board meetings, including scheduling, agenda preparation, and minute-taking
Assist with grant tracking, reporting deadlines, and document organization
Manage internal communications and maintain organizational records and databases
Support event planning, fundraising activities, and community outreach efforts
Oversee office operations, including supply management and vendor coordination
Maintain confidentiality of sensitive organizational and donor information
Requirements:
3–5+ years of administrative experience, preferably in a nonprofit or mission-driven organization
Strong understanding of nonprofit operations, including fundraising and grant processes (preferred)
Excellent written and verbal communication skills
High level of discretion and professionalism
Strong organizational, time management, and multitasking abilities
Proficiency in Microsoft Office Suite and database/CRM systems, Bloomerang, Blackbaud Raiser's Edge, DonorPerfect
