We are looking for a highly organized and personable Senior Administrative Assistant to join our team on a contract basis located in the Greater Philadelphia. Region. In this role, you will play a pivotal part in ensuring the smooth operation of office facilities and maintaining a welcoming environment for employees and visitors alike. Job Responsibility:
Ensure the reception area and office facilities are consistently maintained to a high standard
Welcome and direct clients, visitors, and employees with efficiency and warmth
Manage inventory and restock supplies in shared spaces such as pantries and cafes
Oversee visitor management systems to ensure compliance with company policies
Respond promptly to inquiries from employees and external parties, providing clear information and resolving issues as needed
Identify and report any safety concerns within office premises
Offer administrative support to the Facilities Management team, including backup assistance as required
Coordinate calendars, meetings, and conference calls to facilitate smooth scheduling
Perform additional duties as assigned to support the overall operations of the office
Requirements:
Proven experience managing calendars and scheduling appointments
Strong background in administrative assistance and receptionist duties
Excellent communication skills and ability to interact with diverse groups
Ability to manage inventory and supplies efficiently
Familiarity with visitor management systems and adherence to organizational policies
Detail-oriented with a proactive approach to identifying and addressing safety issues
Competence in organizing conference calls and related administrative tasks
Flexibility to adapt to evolving responsibilities and support team objectives
