Job Description

We are seeking a seasoned Senior Administrative Assistant / Executive Assistant to provide high-level administrative and operational support to the executive leadership team, including the CEO, CFO, and COO of a senior living facility. This role serves as the primary administrative support for the corporate office and plays a key role in supporting multiple departments, managing executive priorities, and representing the executive office with professionalism and discretion. This role REQUIRES prior experience within the senior living/care industry. This is a fully onsite role based in Kearny Mesa. The ideal candidate is highly organized, tactful, comfortable working independently, and able to manage multiple priorities in a fast-paced, executive-facing environment.

Job Responsibility

  • Provide day-to-day administrative support to executive leadership
  • Manage executive calendars, meetings, and scheduling
  • Coordinate domestic travel for executives (monthly travel for COO
  • quarterly/biannual events)
  • Assist executives with tasks related to home office operations
  • Handle confidential and sensitive information with discretion
  • Serve as the primary administrative point of contact for a corporate office of ~20 employees
  • Order and manage office and kitchen supplies
  • oversee regular inventory
  • Support office logistics, reservations, and special events
  • Represent the corporate and executive office professionally to internal and external stakeholders
  • Reconcile vendor receipts tied to capital requests
  • Support purchase order creation and approval workflows
  • Assist with invoice preparation in coordination with interior designers and VPs
  • Support compliance-related documentation (including DOT-related items)
  • Assist with quarterly, biannual, and special events
  • Coordinate reservations and logistics for company communities and events
  • Support multiple projects simultaneously, including during quarter-end and year-end close periods

Requirements

  • Senior living/care experience is REQUIRED
  • 5+ years of experience in an Administrative Assistant, Executive Assistant, or Office Manager role
  • Experience supporting senior executives in a fast-paced environment
  • Strong organizational skills with the ability to manage multiple priorities
  • Comfortable working independently with minimal supervision
  • Professional, business-direct communication style
  • High level of discretion and confidentiality

Nice to have

Accounting or finance exposure is a plus but not required
