We are looking for a highly organized School Operations Associate to support daily administrative functions at our campus in Milwaukee, Wisconsin. This contract-to-permanent opportunity is ideal for someone who enjoys working in a fast-paced school environment, helping families through the enrollment process, and keeping records and office operations running smoothly. The person in this role will serve as a key point of contact for parents, students, and staff while ensuring accurate documentation and dependable front-office support.
Job Responsibility
Guide families through registration by preparing enrollment materials, collecting completed documents, and confirming that submissions are accurate and complete
Maintain student data within school systems by entering updates, reviewing records for accuracy, and safeguarding confidential information
Welcome visitors, answer incoming calls, and route questions to the appropriate team members while providing a welcoming front-desk experience
Handle day-to-day administrative support such as filing, scanning, copying, document preparation, and record organization
Coordinate meeting schedules, assist with office calendar needs, and help keep essential supplies stocked and accessible
Partner with school leadership and administrative staff to track outstanding paperwork and support efficient school operations
Respond to parent inquiries with clear, timely communication and help resolve routine concerns related to enrollment and school services
Assist with the planning and logistics of school events, family engagement activities, and parent-teacher meetings, ensuring materials and spaces are prepared as needed
Requirements
At least 2 years of experience in administrative support, office operations, or a similar coordination role
Strong verbal and written communication skills with the ability to interact professionally with parents, students, and staff
Demonstrated accuracy in data entry, record maintenance, and document processing
Experience using business systems such as CRM, ERP, or student information platforms to manage information efficiently
Ability to manage multiple priorities, stay organized, and meet deadlines in a busy school or office setting
Understanding of confidentiality standards and compliance practices when handling sensitive records
Proficiency with general clerical functions, including scanning, filing, reporting, and front-desk support
