Job Description

Performs scheduling, communication, and administrative functions to coordinate routine daily control of distribution logistics activities.

Job Responsibility

  • Maintains Shipping & Receiving Dock Schedule
  • Slots appointments with Carriers, Customers, and Suppliers
  • Identifies resource constraints and works with designated Management and Supervisory personnel to resolve
  • Includes inter-warehouse transfers
  • Prepares and issues receiving paperwork to Shipping / Receiving personnel
  • Enters and/or validates initial purchase order receipt information
  • Generates product labels for some materials
  • Works with Quality Inspection personnel to assure timely & accurate receipts
  • Processes Supplier performance tracking information
  • Notifies Supply Schedulers or other procuring personnel of delayed or impaired receipts and confers requests for early deliveries
  • Works with Material Control & Payables to resolve receipt discrepancies
  • Administers small package receipt and shipment
  • Supplements Shipping Clerk in shipment administration activities: Prepares and issues shipping paperwork to Shipping / Receiving personnel
  • Enters and/or validates order picking and final shipment information

Requirements

  • High School Diploma or equivalent
  • 2-4 years relevant experience
  • Good interpersonal communication capability
  • Basic Math Competency
  • Basic Computer competency
  • Capability to maintain focus and appropriate demeanor in a fast-paced environment
  • Capability to organize work and manage job priorities

Nice to have

Prior experience in a distribution logistics environment would speed learning

  • Prepare shipment documentation each day, including bills of lading, customer-specific records, and other required outbound paperwork
  • Communicate with customers, carriers, and internal departments to address delays, missed pickups, delivery exceptions, and container-related issues
  • Arrange truckload and parcel carrier pickups for outbound orders and manage dock scheduling to support efficient loading activities
  • Check in drivers upon arrival, direct trailers or containers to the appropriate dock doors, and help maintain organized shipping flow
  • Monitor carrier arrival times throughout the day, follow up on late pickups, and adjust appointment schedules when needed
  • Finalize shipping records to support invoicing and advance shipment notifications, including manual entry through web-based customer platforms when necessary
  • Build and maintain daily outbound schedules, track priority shipments, and assist with proof of delivery, claims, chargeback research, and export documentation
  • Support inbound logistics by preparing receiving paperwork, verifying container information, and maintaining arrival and departure tracking logs
  • Provide cross-functional support across logistics and distribution operations during peak periods and as business needs require
