We are seeking a Sampling Fulfillment Assistant to support our UK and EU sampling operations in our London office. In this role, you’ll play a vital part in delivering the Phillip Jeffries experience to our international clients by ensuring every sample reflects our standards of quality, accuracy, and urgency. This is a hands‑on, detail‑driven role ideal for someone who takes pride in precision, thrives in a fast‑paced environment, and enjoys being part of a collaborative team.
Job Responsibility:
Pick, pack, and prepare memo samples based on daily request lists
Process shipments using DHL, Royal Mail, Prestige bike service, and courier software
Ensure samples are shipped accurately, on time, and with care
Notify leadership immediately of any shipping, inventory, or system issues
Scan, shelve, and organize incoming inventory, reporting discrepancies as needed
Maintain clean, organized, and tour‑ready sampling and storage areas
Restock memo cards, tip cards, and packaging supplies
Prepare introductory and launch mailer packs for clients
Support new collection launches by unpacking, labeling, and shelving materials
Assist with packing and preparing launch rep kits for shipment
Ensure packing materials and supplies are ready ahead of launches
Communicate equipment or material shortages proactively
Support showroom sample replenishment and ongoing organization
Maintain and organize F‑cuts according to team guidance
Assist with basic office and sampling‑related administrative tasks
Support Sales and CX teams with sample returns and related paperwork
Prepare return documentation and share updates with internal partners
Coordinate consolidated return shipments to the U.S. office when needed
Restock office and kitchen supplies related to sampling operations
Provide showroom support when sampling workload allows
Requirements:
Minimum 2 years of experience in customer service, fulfillment, operations, or a similar role
Strong attention to detail with the ability to multitask and manage priorities
Experience working in a fast‑paced, team‑oriented environment
Comfortable using Microsoft Office, shipping carrier platforms, and digital tools
Clear written and verbal communication skills
Calm, level‑headed approach under pressure
Strong time management and follow‑up skills
Ability to lift up to 25 kg
Willingness to mentor and support temporary team members when needed
