Job Description

Artemest is seeking a Sales & Project Coordinator to join our New York team in a key, client-facing role at the heart of our U.S. growth. Working closely with our Account Managers, you’ll help win new business, preparing quotes and managing custom requests with our Milan HQ team, and then see every project through to flawless execution, coordinating closely with HQ’s Operations team. This role is the connective thread between the client, the Account Manager, and HQ, making sure nothing falls through the cracks. This is a high-visibility role for someone with an entrepreneurial mindset who thrives in a fast-growing, fast-moving business. At Artemest, we believe strong, well-cared-for client relationships are what drive sustainable growth, and this role is central to building them. Based in our New York office and Gallery, you’ll work closely with the Account Managers and the VP, USA, with regular contact with HQ order management, operations, and production teams in Milan.

Job Responsibility

  • Support Account Managers in winning new client projects, preparing quotes, proposals, and specifications with Milan HQ
  • Manage custom and bespoke client requests directly with Milan’s product teams, from feasibility through final specification
  • Manage inbound project requests in the CRM, following up promptly to convert opportunities into orders
  • Convert approved quotes into confirmed, accurately documented orders
  • Serve as clients’ primary point of contact, building the trust and responsiveness that keeps them coming back
  • Coordinate closely with HQ’s Operations and Logistics teams to ensure flawless execution, not by managing post-sale operations directly, but by keeping the client, Account Manager, and HQ aligned throughout
  • Track orders through delivery and installation, flagging and resolving delays with HQ before they reach the client
  • Keep CRM and project trackers accurate and current for full visibility across U.S. and Italian teams
  • Support Account Managers with client presentations, proposals, and meeting prep
  • Represent Artemest at design events and industry gatherings as a brand ambassador
  • Look for ways to improve how the New York hub operates as we scale
  • Coordinate with the Miami and LA coordinators on multi-region projects for consistent execution

Requirements

  • Bachelor’s degree in Interior Design, Business, Architecture, or a related field (or equivalent experience)
  • 2+ years of experience in project coordination, order management, or client-facing support, ideally in design, interiors, or luxury goods
  • An entrepreneurial, roll-up-your-sleeves mindset suited to a fast-growing, fast-changing business
  • Strong organizational skills and the ability to manage multiple open orders and deadlines at once
  • Excellent written and verbal communication skills
  • confidence liaising with clients and international HQ teams
  • High attention to detail, particularly around pricing, customization, and order accuracy
  • Proficiency with CRM and project management tools
  • Based in New York and able to work on-site at the Gallery
  • Genuine passion for Italian craftsmanship, design, and the luxury interiors market

What we offer

  • A high-visibility role in Artemest’s flagship U.S. market, working alongside senior Account Managers and leadership
  • The chance to shape how clients experience Artemest, with visible impact on our growth
  • Direct exposure to Milan HQ, top-tier designers, and large-scale luxury projects
  • Real room to grow as part of a scaling company
  • A collaborative, international team
