Job Responsibility:
Responsible as Property Administrator for hotel's Sales and Catering systems: To ensure the system is being used, maintained, and kept with Four Seasons Global standard
Assist the Managers with department administration not limited to system tracking & blocking, creating proposals & contracts, purchase orders and expense reports
Assist the department administration in the preparation of reports for daily, weekly, bi-weekly, monthly as required
Participate in scheduled departmental, divisional and administrative meetings, briefings as requested
Assist and participate in maintaining / creating the structure of Sales Department to ensure maximum productivity through increased efficiency
Generate and create reports for the department using Golden Sales & Catering
Distribute reports to ensure communication to all internal departments throughout the Hotel
Maintain knowledge of hotel facilities, capacities and dimensions
Handle and organize famtrips, reservations and events, under the guidance of the Sales Manager
Monitor all activities and standards to ensure Four Seasons policy and procedures are followed
Assist preparation and support reporting of sales trips and expenses, site visits and client entertainment
Manage and maintain the client database, ensuring records are accurate and up to date
Assist in completing special projects which may include mailings, competitive surveys, or other assigned duties
maintain and order office supplies
Perform other tasks or projects as assigned by the Department and Division Head
Coordinate internal and external sales meetings, minutes, and action follow-ups
Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and Planning Committee
When the Sales or Catering Coordinator is absent, provide administrative support and handle reporting tasks to support the Sales and Catering Department as required
Requirements:
Excellent reading, writing and oral proficiency in the English language
Proficient computer skills and knowledge in Microsoft Office products especially Microsoft Excel, Opera, Salesforce and other programs, as needed
History of working in a team environment and developing working relationships
A minimum of 1-2 years of previous experience in general administration role or hotel/sales and events support
Applicants must also have a high attention to detail and the ability to multi-task in a fast-paced environment
Work well under pressure, have well developed organizational skills
Adaptable and able to learn new skills and tasks efficiently, and function as a team player
Schedule flexibility to accommodate to business needs
Strong understanding of confidentiality and ability to ensure integrity
Nice to have:
Food and Beverage knowledge is a plus
Ability to work hard but still have fun!
