This role will support the Sales team and the Director of Sales by coordinating and managing various administrative and operational tasks. Additionally in this role the Coordinator focuses on utilizing the Golden Sales & Catering (Salesforce) software to ensure compliance with Four Seasons Group standards across all departments, including Sales & Events, Accommodation, Reservations, Accounting, and Banquets. The Coordinator will play a key role in ensuring smooth operations within the Sales Department, contributing to revenue growth and high levels of customer satisfaction through excellent organizational skills, attention to detail, and effective communication.
Job Responsibility:
Assist the Sales Manager with daily administrative tasks such as preparing proposals, contracts, and correspondence
Handle sales-related requests in the absence of a Sales team member
Provide administrative assistance to the Director of Sales (DOS) and backup support to the sales team
Order and maintain inventory levels of sales collateral, stationery, and administrative supplies for the Sales Department
Take minutes during sales meetings and other necessary meetings
Assist in the preparation and distribution of promotional materials and marketing campaigns
Take responsibility for and/or support departmental projects
Continuously enhance and improve the efficiency and organization of the department by implementing required administrative systems
Enter and update group requests in Golden Sales & Catering (Salesforce) while coordinating with reservations to ensure accurate information in Opera PMS
Forward requests to appropriate managers as per Four Seasons standards and execute necessary daily, weekly, and monthly reports
Ensure compliance and accuracy of information in Golden Sales & Catering (Salesforce), edit and audit related reports, and maintain up-to-date tools
Compile and execute month-end reports for the Director of Sales and provide team members with necessary Salesforce reports for daily/weekly functions
Develop a good knowledge of additional systems such as Opera, Birchstreet, and all other systems used by the Sales Team
Requirements:
Applicants must have European Passport or the legal right to work in Greece
College degree
Previous experience in Sales is required
Proficiency in Microsoft Office
knowledge of Golden S&M is advantageous
Excellent analytical, writing, and organizational skills
High attention to detail, proactive approach, and customer service orientation
Ability to multitask in a fast-paced environment
Proficiency in writing and speaking Greek and English
