Welcome visitors to the sales office, respond to general questions, and connect them with the appropriate sales team members based on their needs
Support community tours by assisting with scheduling, preparation, and guided visits for residential and assisted living areas when requested
Prepare letters, reports, tracking documents, and other administrative materials for the sales leadership team and department staff
Enter, maintain, and review inquiry information in CRM and related sales systems to help ensure records remain accurate and up to date
Keep the office organized and ready for guests by managing files, promotional materials, storage areas, and supply inventory
Assemble and review applicant and reservation documentation to confirm required forms are complete and properly organized
Coordinate move-in support activities by preparing welcome materials, organizing orientation packets, and arranging hospitality assistance for new residents
Help plan and carry out marketing events by managing invitations, tracking responses, preparing event materials, and coordinating space setup with internal and external partners
Maintain marketing packets and brochures for distribution, including working with support staff or volunteers to assemble materials as needed
Requirements
Previous experience in an administrative, sales support, or customer-facing office role
Strong written and verbal communication skills with the ability to interact effectively with visitors, residents, and staff
Proficiency with CRM platforms and standard office systems for data entry, reporting, and document preparation
Demonstrated ability to manage multiple priorities, maintain organized records, and follow through on details
Comfortable handling inbound calls, visitor inquiries, and general front-office responsibilities in a detail-oriented setting
Experience supporting events, coordinating materials, or assisting with marketing-related activities is preferred
Familiarity with business tools such as Concur, Crystal Reports, ADP, or similar software is a plus
