We are looking for a detail-oriented Sales Assistant to support order management and customer coordination for a Long-term Contract position based in Madison, New Jersey. This role focuses on ensuring customer orders move smoothly from receipt through fulfillment while maintaining clear communication on pricing, timelines, and order status. The ideal candidate will be comfortable working across sales, logistics, purchasing, and quality teams to deliver accurate information and responsive service.
Job Responsibility
Manage incoming customer purchase orders, verify key details, and enter information accurately in accordance with company procedures
Confirm pricing, quantities, and order requirements promptly, providing customers with timely acknowledgement and clear confirmation of accepted orders
Support the sales function through administrative coordination, data entry, and direct communication with both prospective and existing customers regarding lead times, updates, and requested changes
Partner with logistics personnel to gather complete shipping information and validate order details before release to the designated warehouse
Address customer concerns and service issues quickly, working toward practical resolutions that maintain strong client relationships
Monitor open orders, scheduled releases, and shipments, and proactively inform customers of delays, changes, or progress updates
Collaborate with clients on forecasts and anticipated demand to help align purchasing plans and shipment schedules
Prepare and distribute reports on customer ordering patterns and account activity for sales, quality, purchasing, and logistics stakeholders
Communicate important account updates such as pricing adjustments, product discontinuations, and product name changes to affected customers
Provide backup support for logistics-related tasks when needed, including order release coordination, carrier arrangements, customer logistics communication, and issue resolution
Requirements
Experience in sales support, inside sales, or customer order processing within a fast-paced business environment
Strong ability to manage detailed order information with a high level of accuracy and follow established procedures consistently
Effective written and verbal communication skills for working with customers and cross-functional internal teams
Proven ability to prioritize multiple tasks, track open items, and meet time-sensitive deadlines
Comfortable handling customer inquiries, resolving complaints, and maintaining a detail-focused, service-oriented approach
Proficiency with data entry, reporting, and standard business systems used for order management and customer communication
Background in coordinating with logistics, shipping, or warehouse teams is preferred
Knowledge of inside sales, direct sales, inbound sales, outbound sales, or broader sales operations is an asset
