We are looking for a highly organized Sales Assistant to support order execution and customer communication for a growing company in Coral Springs, Florida. This position plays a key role in keeping sales, accounting, operations, and warehouse activities aligned so that orders move efficiently from initial entry through final delivery. The ideal candidate is proactive, detail-focused, and confident managing multiple follow-ups in a structured, fully onsite environment.
Job Responsibility:
Manage the progression of customer orders from initial submission through billing, payment coordination, shipment, and final delivery
Track active orders closely, maintain accurate status updates, and follow through to keep deadlines and commitments on schedule
Serve as a primary contact for customers by providing timely updates on order progress, shipping timelines, and delivery expectations
Coordinate with internal teams to align sales activity, accounting documentation, operational needs, and warehouse scheduling
Review freight charges, vendor invoices, and related billing records to confirm they match approved costs and supporting details
Verify approvals and direct properly matched invoices to accounts payable for processing
Organize and maintain order records, approvals, and supporting documentation within HubSpot or a similar system
Assist with shipping arrangements by confirming estimates, logistics details, and delivery requirements
Monitor invoicing activity for accuracy and status visibility while partnering with accounting without handling collections directly
Requirements:
3 to 5 years of experience in sales support, project coordination, operations coordination, or administrative support roles
Strong organizational skills with the ability to manage detailed tracking, documentation, and follow-up across multiple tasks
Proven ability to take initiative, assume ownership of responsibilities, and keep processes moving with minimal supervision
Experience working collaboratively with cross-functional teams such as sales, accounting, operations, and warehouse staff
Proficiency with Microsoft Excel at a basic to intermediate level
Familiarity with HubSpot or comparable CRM and document management platforms
Effective written and verbal communication skills with a customer-focused approach
Comfortable working onsite in a structured office environment
