Job Description

The Sales and Use Tax Exemption Senior Specialist will improve compliance of sales tax exemption on customers’ accounts receivable accounts. This will be done by having proper documentation and training of field personnel and customers. It will be important to track performance, review accuracy according to business rules, and collaborate with state audit findings. This position will also work with subsidiary Finance teams to confirm if any changes are needed to AP invoices, use tax and VAT findings.

Job Responsibility

  • Review, validate, and manage customer exemption and resale certificates
  • Audit tax status on various AR customer accounts
  • Maintain an audit-ready file of all exemption documentation in our 3rd party tax system
  • Partner with the internal audit team to update business rules as a result of state expectations and audit results
  • Manage production and accuracy Service Level Accuracy for teams given expectations
  • Provide needed reporting of KPIs each month
  • Track and address any root cause issues with audit findings and production errors
  • Monitor sales use tax escalations
  • Assist with communication to customers who have expired or missing tax certificates
  • Work with business units subject matter experts to standardize tax exemption processes
  • Attend acquisition calls and provide needed guidance for tax certificates
  • Provide training material to internal sales individuals
  • Contribute to continuous improvement to enhance the experience of the customer and field while limiting sales tax exposure
  • Collaborate with accounting departments regarding the calculated use tax to improve needed procedures
  • Implement VAT procedures to improve the vendor master
  • Maintain standard operating procedural guides

Requirements

  • A degree in accounting or finance is preferred but not required
  • Relevant experience of 2-5 years in sales and use tax procedures and tax software
  • A high level of attention to detail and strong analytical skills are required
  • Exhibits timely follow-up skills
  • Problem solves with little direction
  • Easily communicates with both customers and executives regarding tax exemption
  • Is proficient with Microsoft Excel

  • Improve, develop, and maintain sales tax compliance reports and analytics to support internal reviews and external audits
  • Provide expert input in the implementation of Tax Decision Maker (TDM) tools for purchases and automation of tax rate updates within Point-of-Sale systems
  • Conduct detailed taxability research to determine the appropriate tax treatment for products, services, and transactions
  • Assist in pulling and compiling comprehensive audit documentation in response to requests from tax authorities or internal auditors
  • Build and maintain taxability matrices to guide taxability decisions across various jurisdictions and product lines
  • Assist in the creation and maintenance of user guides, process documents, and best practice manuals related to sales tax exemption and audit functions
