We are looking for a dedicated Sales Administrator to join our dynamic Brokerage Operations team in Indianapolis, Indiana. In this long-term contract position, you will play a vital role in supporting commercial real estate brokerage professionals through a variety of administrative, financial, and operational tasks. This position offers a fast-paced, collaborative environment with opportunities to work closely with brokers, marketing, research, and finance teams, providing exposure to all aspects of the business.
Job Responsibility:
Conduct market research and compile data to create deliverables such as market surveys, tour books, and competitive analysis reports
Prepare transaction-related documents, including proposals, letters of intent, leasing status reports, and correspondence with clients and prospects
Design and refine presentations, pitches, and other client-facing materials to support meetings and business development efforts
Organize and oversee events, meetings, and functions, including client events, open houses, and industry gatherings
Collaborate with internal departments such as research, marketing, and finance to address client requests and project needs
Manage and track broker expense reports in compliance with company policies and coordinate submissions using relevant systems
Arrange travel logistics and schedules for brokers and executives as needed
Provide general administrative support, including scheduling meetings, preparing documents, maintaining office equipment, and covering front desk duties
Execute additional administrative duties as assigned to support the overall success of the team
Requirements:
At least one year of relevant experience supporting multiple stakeholders, preferably within the commercial real estate or detail-oriented services industry
Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, with the ability to quickly learn new software systems
Familiarity with Adobe InDesign is preferred but not required
Strong project management skills, including multitasking, prioritization, and meeting deadlines, with the ability to work independently or collaboratively
Resourceful, detail-oriented, and proactive, with a positive attitude and a commitment to personal and detail-oriented growth
Demonstrated discretion and sound judgment when handling sensitive and confidential information
Exceptional proofreading and editing skills to ensure the accuracy and quality of deliverables
Effective communication and customer service abilities to build strong relationships with clients and team members
